1. Scope and Roles

This Privacy Policy describes how Dispatchee LLC ("Dispatchee", "we", "us") collects, uses, discloses, and otherwise processes personal information in connection with our CRM platform and related applications and services, including the Dispatchee iOS application (collectively, the "Services"). Where the Services are provided to an organization (your employer or contracting company), that organization typically determines the purposes and means of processing (the "business" or controller). In such cases, Dispatchee acts as a service provider/processor and processes personal information pursuant to its agreement with the organization. For activities such as account administration, security, product improvement, and website operations, Dispatchee may act as a business in its own right.

2. Categories of Information We Handle

  • Identifiers and account data: name, email, phone number, user IDs, organizational role, profile image.
  • Device/usage data: device identifiers, app/OS version, IP address, timestamps, logs, diagnostics, performance data.
  • Content and communications: messages, attachments, notes, call metadata, task/job records.
  • Location and iOS permissions: location, notifications, contacts, camera, microphone, photos/library (when enabled).
  • Commercial and billing data: subscription tier, transaction records, invoicing metadata; payments by providers.

3. Sources of Information

  • Directly from you and from administrators or users in your organization.
  • Automatically from your device, browser, and the Services.
  • From service providers and integration partners used to enable features (e.g., communications providers).

4. Purposes of Processing

  • Provide, operate, and maintain the Services (dispatching, routing, collaboration, messaging).
  • Authenticate and manage accounts; apply access controls; maintain integrity and availability of the Services.
  • Prevent, detect, and investigate fraud, abuse, security incidents, and violations of policies or law.
  • Enable communications (voice, SMS, email) via processors such as Twilio and Mailgun.
  • Support, troubleshooting, quality assurance, and product improvement using aggregated or de-identified data where feasible.
  • Comply with legal obligations and enforce agreements; protect our rights, users, and the public.

5. Disclosures and Recipients

We disclose personal information as reasonably necessary to deliver the Services and as directed by your organization, including:

  • With your organization and authorized users per its configuration and policies.
  • With service providers under contract (infrastructure, analytics, communications, support). Key providers include Google (e.g., Maps), Twilio, and Mailgun.
  • With competent authorities when required by applicable law or lawful process, or to protect rights and safety.
  • With a successor entity in a corporate transaction, subject to standard confidentiality and notice practices.

We do not sell personal information or share it for cross-context behavioral advertising.

6. Cookies and Similar Technologies

We and our providers may use cookies, SDKs, and similar technologies to enable functionality, maintain sessions, secure the Services, and measure performance. You may adjust preferences via your browser or device. Certain features may not function if these technologies are disabled. We currently do not respond to Do Not Track signals.

7. Data Retention

We retain personal information for as long as necessary to fulfill the purposes described, to comply with legal requirements, to resolve disputes, and to enforce agreements. Retention periods vary based on data category, contractual obligations with your organization, legal requirements, and legitimate business needs. Your organization may configure its own retention rules.

8. Security

We implement administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, destruction, loss, alteration, or disclosure. Measures may include encryption in transit, access controls aligned to least privilege, authentication and session management, logging and monitoring, vulnerability management, secure development practices, personnel confidentiality obligations, and incident response procedures.

No method of transmission or storage is entirely secure. Your organization is responsible for configuring appropriate access rights and security settings within the Services.

9. Your Choices and State Privacy Rights

  • Manage iOS permissions in Settings → Privacy & Security (e.g., location, camera, microphone, photos, contacts, notifications).
  • Opt out of SMS by replying STOP; reply HELP for help. Message and data rates may apply.
  • Access/correction/deletion: If we process your information on behalf of your organization, direct requests to your organization. We will assist the organization as required by law. Where Dispatchee acts as a business, you may contact us at the address above to exercise applicable rights under U.S. state privacy laws.

10. Children

The Services are not directed to children under 13 and are not intended for their use. We do not knowingly collect personal information from children under 13.

11. International Considerations

The Services are primarily provided in the United States. Personal information may be processed in the U.S. and other jurisdictions where our providers operate. Where required, we implement appropriate safeguards for cross-border transfers.

12. Changes to this Policy

We may update this Policy from time to time. We will post the updated version with an updated effective date and, for material changes, may provide additional notice (e.g., in-app). Your continued use of the Services after the effective date constitutes acceptance of the revised Policy.
